Approval of Minutes

 

The minutes from the last AGM on 10 October 2017 were approved by Sophie Coles (SC).

 

Chair’s report

 

Vanessa Conte (VC) Chair, thanked everyone who came tonight. Chair also thanked newcomers to the PTFA and thanked the teachers and the school for their continuing support.

 

It was another great year of events, and the PTFA are proud of what they achieve as a community, with great spirit.  The PTFA are looking to new parents to help run and support the larger events like the Summer Fair in 2019, as it’s the large events that make huge profits that go directly towards enhancing the school environment and the children’s experience at Bishop Road.

 

We ended the 2016-2017 Year with the incredible Story Garden, but last year, due to huge cuts in school budgets, PTFA Funds were directed towards the Core and Enrichment Funds.

 

PTFA help and support is voluntary and we are always looking for new people to join the team and share new ideas. The PTFA is a group of working parents. We all give up our free time. Thanks for making it a fun job, sharing the burden makes it easy. The current Chair will be handing over the role at the end of summer 2019.  So, if anyone has any interest in continuing this role, please do get in touch with the PTFA to arrange some shadowing.

 

 

 

 

 

Treasurer’s report

 

Sophie Coles summarised what we currently know.  An incredible £35k was raised during 2017/18 and some of the big events to contribute to that total were; Fireworks, Beginners Ball, the Summer and Christmas Fairs.

 

There is an uncommitted spend of £46k but we have to confirm has been pledged so far.

 

The following pledges (to be confirmed);

  • £14k for Enrichment
  • £14k for Core Fund (books)
  • £500 for Year 6 Leavers Party

 

Deputy Head Teacher’s Message

 

Thank you to Vanessa for leading the team.  Thank you to the PTFA for the Enrichment Fund, this year, it has enabled our children to enjoy a huge variety of activities from Beat-boxing to Pirates, to Authors and Illustrators.

We do not know what the financial contributions to the school are for the next few years, but we are hoping that this year will allow us to spend on a big project.  We are looking for the PTFA to agree to invest some of the money in the ‘Music House’

The current music room, which overlooks Bishop Road at the front of the building alongside the Reception Playground, is not well used and/or fit for purpose.  The school would like to knock through the two rooms downstairs, and create a Drama and Music studio.  The upstairs would be updated and used for Music Lessons.  This Project would require structural work to open the space up, but it allows classes to come and use the space more actively and rehearse for Christmas and Summer Plays, make it more accessible.  Teachers will want to teach there and Children learn there.

 

The school are looking for a pledge of £15k to start the project off, to allow further exploration of what can be achieved.  This project would be a collaboration between the PTFA, Governors and the School, and a Steering Group would be put in place with representatives from each group.  A projected cost of around £35-40k has been suggested, that would need to be confirmed.  The team would look to reach out to families in the school community who have lots of expertise that they could bring to the project.

 

Next Steps;

-To pledge £15k – Proposed Sophie Coles, Second Jemma Jurgenson.  Unanimous agreement from the AGM Attendees

-Discuss details with the Governors

-Set up a Steering Team

Look to do an appeal through PTFA events

Research corporate matched funding (as a possibility)

Themed one off events to encourage further funds to be raised.

 

The school requested a pledge of £14k for the 2018/2019 Book Fund – Proposed Helen Fazakerley, Second Kiera Sneddon

 

The school have requested new wet play boxes, for every class to replace the existing ones.  Children use these boxes when they are unable to play outside due to bad weather. Approx £2k

Kate Flannagan has £152 to donate to the School from sales of Usbourne Books, and has plenty of games, cards etc to help fill wet play boxes if required?

 

Finally, the school are looking to replace the outdoor Musical Instruments and are requesting £2k – Proposed Chris Brooker, Second Hayley Gibson

 

A new PTFA Website is to be launched this term, making it easier to access information about Events, Buy tickets on-line and keep in touch, this will be supported by a completed GDPR data exercise and working towards a more efficient Mail Chimp process.

 

Election of PTFA Committee

 

Before the election, Amanda Nichols confirmed that the meeting was quorate.

 

Chair

Re-election of the Chair. Vanessa Conte was proposed by Kiera Sneddon, and seconded by Jemma Jurgenson.  Elected as Chair

 

Treasurers

Re-election of Joint Treasurers. Alex Spendley and Sophie Coles were proposed by Amanda Nichols, seconded by Emma Carroll.  Elected as Joint Treasurers.

 

Secretary

Re-election of Secretary. Amanda Nichols, was proposed by Vanessa Conte and seconded by Sophie Coles. Elected as Secretary.

 

Class Links and Event Organisers

Jemma Jurgenson nominated the people listed in Appendix 1 as Class Links. Sophie Coles seconded the nomination and those named were duly elected.

 

Events Organisers and other Committee Members

Vanessa Conte nominated the people listed in Appendix 2 as Event Organisers and members of the committee. Helen Helen Fazakerley seconded the nomination and those listed were duly elected.

 

Independent Examiner

The Independent examiner report has been completed and can be viewed on the Charity Commission website.  Alex Spendley will look to appoint a new independent examiner, and will confirm to the PTFA once completed.

 

Any Other Business

Event Organisers

There are a number of key event organisers leaving the school in the summer of 2019 and so new organisers need to be found, to ensure the big fund raising events can continue to go ahead.  The current vacancies are listed in the Appendix;

 

Key Events looking for new organisers are;

1). Fireworks Team – require new team members

2). Inflatables – require more parents to become part of the well-established team.

3). Summer Fair – there is currently no date in the diary for a 2019 Summer Fair, as the 2018 team are unable to run the event.  This is a key event in the School Calendar and really needs a team behind it.  An alternative event could be the Picnic on the Field on a Friday in July if the PTFA felt it was appropriate. Please contact the PTFA if you think you can help.
