1).           Welcome to the Meeting and to new attendees.

  • Minutes of the last meeting approved

2).           Treasurers report:

Treasurer’s report was presented by Sophie. Key financials to note:

  • During 2017/18, the PTFA raised over £37k.  The treasurers believe this is the highest year to date.
  • Our current 18/19 school year looks on track with approx £17k already raised
  • Fireworks has again made a fantastic £10k profit, our biggest fundraiser. Our enormous thanks to Jeremy for leading the amazing team for his final year at Bishop Road.

 

3).           Vice Chair appointment

  • Helen Fazakerly was voted in as Vice-Chair, Kiera proposed and Jennie approved. Thank you Helen.

               

4).           Pledges;

 

  • For 2018/2019 the Enrichment Fund pledge is £14k; and £15k has been pledged to the school music suite development. £1k has been pledged for year 6 to attend Life Skills workshop.  £10k is kept as contingency. £17,800 remains in the funds uncommitted.

 

5.)           School Website;

  • Sophie has been working closely with Ben Brooks to get a PTFA area on the school website to sell tickets and process online payments for events (to hopefully be available from September 2018), as well as all the other sections of information we currently provide. A huge thanks go to Sophie, for the enormous effort that has gone into keeping us compliant with GDPR and moving us into the 21st century with on-line payments.

 

6).           Recent Events:

  • Race Night – The first Race Night at Bishop Road was a success, raising just short of £500 and Chris is already thinking about 2019 and how improve on that success.
  • Christmas Market – Was a great success this year, and timing of the event (at end of November) was great to capture the early Christmas shoppers. Although the footfall was lower than previous years, the profit was a fantastic £2.5k.  Thanks go out to the Christmas market Team.

 

7).           Forthcoming Events;

  • Christmas Trees 1st December – Agreed that 1st December was a good time to catch people buying their trees, prices are going to be up slightly from last year, but we do already sell the trees at a very competitive price.
  • Christmas Fair 8th DecemberJennie and team are excitedly progressing with this year’s fair. There is an outside plan in place, but able to transfer inside incase of inclement weather.  Jennie asked Mr Barr for support from the teachers with Secret Santa.  Flyers and raffle tickets to go out in book bags tomorrow.
  • LAST BIG SCREEN – A final family film just before Christmas is the last Big Screen event at Bishop Road, as the team are moving on. Thanks go to Sandie Cheshire and the community team for making this such an iconic event over the years.
  • Beginners Ball – January 26th 2019The Beginners Ball will be the first event to test out the new website ticket sales. The plan is for parents to buy tickets on-line and for the website to print the name details of the tickets purchasers, who receive a stamp on their hand on arrival.
  • Disco – 1st February 2019Also hoping to sell tickets on line for the Disco. The normal format of Yr 1&2, Yr 3&4 and Yr 5&6 will take place, with DJBags of fun providing the entertainment, Justin Vafadari is on-board to sort the logistics and Amanda to sort marketing and ticket sales.
  • Bingo – Friday 26th April 2019 – A new event for the PTFA being organised by Sarah Darling. It was suggested that this event would need a lot of advertising before the Easter holidays to get people engaged.
  • Summer Fair 8th June 2019It has been agreed that a team would like to take the Summer Fair forward this year, thanks to Melissa Burgess. Further details will available in the New Year.

 

8).           AOB

  • The PTFA are still keen to buy branded re-usable cups for parents to use at events. This will be followed up in 2019.  The Xmas Fair team are using Vegware, to reduce the impact of plastic use.
